This is not intended to replace any of the forms now used.
The purpose of this program is to track Territories in a database to provide
on line access and special reports. A Territory card is printed with assigned
to, due date, days since last worked, do not calls (in red) and special instructions
to be included in the plastic folder with the Territory map (see below).
Once the data is gathered, reports can be printed or displayed on the
computer with the click of a button.
I am also going to make available the code and forms to any congregation. It is
necessary for someone to know Visual Basic 6.0 and ADOX database. I have a program
which creates the database and can be easily modified to include extra fields should
you want to change the current database.
We use Territory map of the entire Territory with individual Territories outlined
on it. If the Territory has not been worked, it has a red push pin in it; being worked,
yellow; worked, green. At a glance anyone can see which Territories haven't been
worked, those that are being worked, and those that need to be worked. As red pins
are worked, new ones are added (about ten to fifteen at a time) by using the report
page and selecting the 'Days Since Last Worked' button. Oldest go next. Green pins
are replaced with red. That way the town or city is continuously worked in an equally
distributed manner.

The territory maps can be in color showing every house in the territory. One of the
advantages of using maps this way is that they can be stored on disk, backed up,
and printed at any time.
To use this program it isn't necessary to have a computer at the Kingdom Hall,
as long as one is available to the Territory Servant at his home (or any home).

INSTRUCTIONS
To get started, to the right on the main screen is a box titled 'Territory Maintenance'.
Inside this box are buttons labeled Add, Delete and Update. To Add a territory (three
characters maximum) enter a territory number below the box at the top under Territory,
click on a location, and then click Add. Locations are general areas of your congregation. If
there are none on file, click the Add or Delete Locations button and add at least one. The
purpose of the locations is to use them during campaigns. Usually City territories are
worked first, then others, as City territories have the largest concentration of people.
One of the reports lists territories by locations.
All new territories will have all the dates filled with the date that they are entered. To
add Do Not Calls or Special Instructions for any territory, enter the territory number and
click the Do Not Calls or Special Instructions button. They will appear on the Territory Card.
The Do Not Call screen has a radio button to add the date (date being processed) or not.
You will note that the length of the Do Not Call is 40 characters (for printing purposes)
with the date added. If you click the 'NO' radio button, the number of characters will
increase to 50. It's whatever you would like it to be.
The Update button is used to make changes to any of the 'Last' fields without checking out
or turning in any territory. It is also possible to change the Assigned To, Assigned Date,
and Times Worked This Service Year. The Due Date is calculated from the number of days
specified on the Options screen (see below).
The Delete button deletes the territory and Special Instructions. Do Not Calls should be
deleted first if you want them deleted at all.
Prior to checking out a territory, click the Options button. On that screen you will find a
field labeled number of days before due. This is used to calculate the due date for any territory
being checked out and can be any number below 365. You can change this for territories which
require more time to work (rurals, mountains) when someone is checking out those territories.
To check out a territory, put in the territory number, click Inquire, then enter the Assigned to
and, using the drop down calendar, a date. Click the Check Out Today button and a message will
be displayed reminding you to print a territory card. If the date is other than today's date, a
message is displayed asking if you would like the program to change it to today. Yes or No.
Territory cards are printed on regular paper (I tried stiff paper but my printer jammed) and
needs to be cut in half after printing. Two can be printed per page before cutting by turning
the paper in the printer. I cut the paper in half first and bring it to the Kingdom Hall.
If, on an Inquiry, a territory is overdue, the red overdue days field blinks with the number of days.
To process a territory being turned in, enter the territory number, then click Turn in Today.
The Assigned To person will be moved to the Last Assigned To, likewise with dates also. The
'Times Worked This Service Year' field is incremented by one.
